We are looking for an experienced Lead Intake Coordinator who brings respect, empathy, and kindness to our patients. This individual is responsible for managing the lead funnel through key observations of KPIs and metrics, driving efficiency to meet departmental goals. The individual will possess a commitment to continuous improvement, and will have a knack for critical thinking and problem solving, all while rolling up their sleeves to get the job done. This position involves working with prospective patients via phone and email to educate them on treatment options for depression, anxiety, and OCD, and to guide them through the process prior to starting treatment. This is a high lead volume, multi-touch patient advocate position.
You will be responsible for:
- Managing the intake process for prospective patients utilizing the lead management system.
- Meeting or exceeding new patient and treatment expectations.
- Leading weekly Intake check-ins.
- Leading intake training for new hires regarding policies, protocols, and procedures.
- Collaborate with Revenue Cycle Manager and P+C to create learning paths for intake team members.
- Ensuring all follow up tasks are closed out.
- Providing management with weekly metrics.
- Qualifying prospects utilizing the APMH screening process.
- Following up on referrals from hospitals, medical clinics, & insurance companies.
- Working closely with medical providers, technicians, and other medical staff to ensure high levels of patient satisfaction.
- Communicating frequently with team members and leadership.
- Scheduling appointments and performing data entry using the company’s EHR & CRM systems.
- Performing other tasks as assigned by management or executive team related to integration, patient satisfaction, and data analytics.
- Addressing complex patient interactions by following up with a phone call and deescalation, as necessary.
- Other duties, as assigned.
You will be successful, if:
- You possess a Bachelor’s degree in psychology, healthcare administration, or related field, preferred.
- You have two years minimum experience in healthcare or behavioral health.
- You demonstrate a strong understanding of insurance related terminology and processes.
- You bring experience in scheduling appointments, working with multi-line phone systems, and data entry in EHR and CRM systems, preferred.
- You possess broad knowledge of clinical terminology.
- You are able to work in a dynamic, high-demand, fast-paced environment.
- You are able to work successfully in collaborative and independent environments.
- You are able to focus on patient care being executed at high levels.
- You have excellent communication skills, to include in-person, over the phone, email, and through internal systems.
- You are able to maintain professionalism with internal and external stakeholders.
- You demonstrate the ability to maintain patient and clinic confidentiality, in accordance with HIPAA regulations.
- You are able to work both independently and collaboratively.
- You’re a self-starter with strong attention to detail.
