We are looking for an experienced Mental Health Administrator who brings respect, empathy, and kindness to our patients.  This individual supports the administrative functions of the clinic to ensure efficient, high-quality patient care delivery. This role plays a key part in coordinating medication management services, supporting the Spravato program, and assisting the Patient Care Coordinator (PCC) with daily clinic operations. The ideal candidate is detail-oriented, compassionate, and adaptable—able to balance administrative precision with a patient-centered approach.

You will be responsible for:

  • Program Support
    • Coordinating patient scheduling, appointment reminders, and follow-up communication for medication management and Spravato treatments.
    • Maintaining accurate and timely documentation in the electronic health record (EHR), ensuring compliance with clinical and regulatory standards.
    • Submitting, process, and track prior authorizations,
    • Processing prescriptions, and medication refills in collaboration with clinical staff.
    • Conducting eligibility checks for medication management and Spravato.
    • Assisting with inventory management and ordering of supplies related to medication management and Spravato treatments.
    • Supporting patient intake, consent, and safety procedures during Spravato treatment sessions as directed.
    • Assisting the Mental Health Technician by obtaining and recording patient vital signs before, during, and after treatment, following established protocols and safety guidelines, as needed.
  • Administrative + Clinic Support
    • Greeting and assisting patients in a professional, empathetic manner, ensuring a welcoming and efficient clinic experience.
    • Providing administrative assistance to the PCC and clinic leadership, including data entry, record audits, copay collection, and reporting tasks.
    • Ensuring confidentiality and compliance with HIPAA and Active Path policies at all times.
    • Coordinating communication between providers, patients, and external partners to support seamless care.
  • Behaviors + Accountability

You will be successful, if:

  • A Bachelor’s degree in psychology, healthcare administration, or related field, preferred.
  • One year of experience working in an administrative role within the medical field, with a strong focus on coordinating patient services.
  • One year of experience working in admissions in behavioral and/or mental health, preferred.
  • Experience in scheduling appointments, working with multi-line phone systems, and data entry in EHR and CRM systems, preferred.
  • General understanding of insurance processes and terminology.
  • The ability to prioritize teamwork above self.

  • You have the ability to bring organizational skills to the clinical environment.
  • You have demonstrated experience working with patients in a behavioral health setting.
  • You are experienced working with patients who suffer from depression and anxiety, preferred.
