We are looking for an experienced Patient Care Coordinator who brings respect, empathy, and kindness to our patients.  This individual is responsible for delivering a first-class experience to our patients in the clinic. This role addresses patient inquiries, collects copayments, assists in rescheduling efforts, collaborates with the Intake and Operations teams, and provides outstanding patient communication. The Patient Care Coordinator also supports clinic workflow and ensures adherence to Active Path policies and procedures.

You will be responsible for:

  • Greeting and assisting patients checking in for TMS, Psychotherapy, Spravato, and Medication Management appointments.
  • Addressing patient inquiries, anticipate anxieties, and provide a welcoming environment.
  • Answering phone calls, emails, and patient questions with professionalism and efficiency.
  • Managing patient intake documentation, ensuring all necessary paperwork is completed before the first appointment.
  • Processing patient payments and assisting with daily financial reconciliation at the clinic.
  • Communicating with patients regarding appointment rescheduling, cancellations, and no-shows, assessing fees per APMH policies after confirming with providers and operations staff.
  • Ensuring adherence to HIPAA regulations by maintaining confidentiality of medical, personal, and financial information.
  • Providing coverage for interventional psychiatry services, such as transcranial magnetic stimulation (TMS) and other treatments, as needed.
  • Collaborating with the Intake and Operations teams to optimize scheduling and patient flow.
  • Assisting in implementing process improvements to enhance clinic operations.
  • Supporting team members in resolving patient concerns and workflow issues.
  • Performing other duties as assigned.

You will be successful, if:

  • You possess A Bachelor’s degree in psychology, healthcare administration, or related field, preferred.
  • You have a minimum of one year behavioral/mental health experience, preferred.
  • You have demonstrated proficiency in EMR/EHR recordkeeping, such as Tebra.
  • You have experience in medical, clinical, and insurance terminology.
  • You are able to maintain a professional, clinical appearance and demeanor with patients and staff.
  • You have the capability to work in a dynamic, high-demand, fast-paced environment.
  • You possess excellent organizational skills with an attention to detail.
  • You have a strong knowledge of HIPAA regulations and ability to maintain strict confidentiality.
  • You demonstrate proficiency with technology, including Google Workspace, EHR systems, and electronic faxing.
  • You demonstrate exceptional communication skills, including listening, speaking, and writing.
  • Demonstrated professionalism and ability to maintain patient and clinic confidentiality.
  • You have the ability to adapt to changing workflows and contribute to clinic efficiency.
  • You have demonstrated the ability to work in a high-demand, fast paced environment.
  • You are able to work both independently and collaboratively.
  • You’re a self-starter with the ability to multitask effectively.
