Intake Coordinator

We are looking for an experienced Intake Coordinator who brings respect, empathy, and kindness to potential patients. Working in the corporate office, this individual is the first point of contact for prospective new patients at Active Path Mental Health. The successful individual will assist in bringing new patients in through phone and web inquiries, verifying insurance benefits are active, performing phone screens and scheduling evaluations with a provider with the intent of getting patients into treatment.
You will be responsible for:
- Serving as the first point of contact and advocating for prospective patients, greeting them through the phone with empathy, respect, kindness, and patience.
- Screening potential patients utilizing the APMH criteria in a phone consultation.
- Collaborating with fellow Intake members to track and achieve monthly team metrics.
- Operating with a sense of urgency to deliver a high-standard level of customer service to prospective patients.
- Scheduling prospective patient consultations and evaluations promptly.
- Identifying all paperwork and items are complete when performing quality assurance work on an evaluation.
- Responding to voicemails in a timely manner, or ensuring that the messages get to the appropriate person quickly.
- Utilizing the intake dashboard to follow up with patients who have completed consults, and move them to the next stage of the funnel.
- Scheduling post treatment follow-ups.
- Answering questions regarding APMH service offerings.
- Obtaining and coordinating referrals from referring providers and insurance companies.
- Following up with potential patients for various medical history or paperwork needed prior to a provider evaluation or submission to insurance.
- Coordinating collaborative care calls with referring providers and peer review calls with insurance payers.
- Serving as back up to Patient Care Coordinators in the scheduling of new patient starts and treatments.
- Other administrative responsibilities such as data entry, collecting payment information, requesting records, and scheduling appointments using APMH’s EHR and CRM systems.
- Other duties, as assigned.
You will be successful, if:
- You possess a Bachelor’s degree in psychology, healthcare administration, or related field, preferred.
- You have a minimum of one year of experience working in an administrative role within the medical field, with a strong focus on coordinating patient services.
- You can demonstrate one year of experience working in admissions in behavioral and/or mental health, preferred.
- You have experience in scheduling appointments, working with multi-line phone systems, and data entry in EHR and CRM systems, preferred.
- You possess an understanding of insurance processes and terminology.
- You are able to prioritize teamwork above self.
- You demonstrate the ability to adapt and remain resilient with rapidly changing priorities.
- You have a proven record of working in a dynamic, high-demand, fast-paced environment.
- You are able to work successfully in collaborative and independent environments.

Clinical
Associate Mental Health Therapist
At Active Path, we work to empower hope in the lives of our patients, our employees, and our communities. As associate-level therapists, we know that you have worked hard to get where you want to be. We also know the struggle it can be to obtain your supervisory hours, and run your own practice.
With the addition of a Supervised Associate Cohort, our Director of Psychotherapy , will provide guidance and supervision, allowing you to refine your craft. At no cost to you, this allows you to obtain your full licensure through the free supervision of hours.
In order to deliver the quality of care that patients deserve, therapists need the freedom to make the best decision and treatment plans for their patients. Medical Assistant

We are looking for an experienced Medical Assistant who brings respect, empathy, and kindness to our patients. This individual will be supervising the administration of intranasal esketamine to psychiatric patients (primarily treatment-resistant depression), including medication ordering, retrieval, patient education, inventory management, documentation and medication disposal in accordance with Active Path and REMS protocols. This role will handle prior authorizations and scheduling patient appointments according to a specific treatment plan. The individual will maintain communication with their colleagues, pharmacies, Active Path providers, and referring providers.
You will be responsible for:
- Monitoring patients during administration of intranasal esketamine under the supervision of a MD, PA or PMHNP.
- Facilitating communication between providers and patients regarding any concerns.
- Working closely with leadership, the CMO, providers, technicians, and other medical staff to ensure high levels of patient satisfaction while meeting organizational goals.
- Documenting daily notes in the medical record for esketamine sessions and managing paperwork for FDA-required Spravato Risk Evaluation and Mitigation Strategy (REMS).
- Maintaining esketamine inventory, protocols and ordering supplies.
- Ordering medication with outside specialty pharmacy and in-house pharmacy
- Adhering to safety and compliance guidelines.
- Understanding organizational deliverables for patient care.
- Assisting with procurement of supplies and materials to include purchasing requests, monitoring expenses.
- Assisting with medication prior authorizations and overrides for all Spravato patients at the assigned clinic.
- Providing coverage in other interventional psychiatry services such as medication management and transcranial magnetic stimulation (TMS), as needed.
- Providing coverage to the Medication Management Coordinator, as needed.
- Other duties, as assigned.
You will be successful, if:
- You possess certification as a Medical Assistant, required.
- You are currently certified with your BLS and CPR, or have the ability to obtain before starting.
- You have a demonstrable proficiency in EMR/EHR recordkeeping such as Tebra.
- You have prior experience in charting treatment notes.
- Prior experience in medication prior authorizations and additional administrative duties (i.e. calling pharmacies, inventory tracking, etc.)
- You are able to maintain a professional, clinical appearance and demeanor with patients. Scrubs required.
- You have knowledge of, and experience in, obtaining prior authorizations.
- You have demonstrated the ability to work in a high-demand, fast paced environment.
- You are able to work both independently and collaboratively.
- You’re a self-starter with strong attention to detail.
- You have the ability to bring organizational skills to the clinical environment.
- You possess excellent communication and interpersonal skills, including listening and speaking, to reassure and guide patients.
- You are able to demonstrate professionalism and the ability to maintain patient and clinic confidentiality.
- You have demonstrated experience working with patients in a behavioral health setting.
- You are experienced working with patients who suffer from depression and anxiety, preferred.

Psychiatric Mental Health Nurse Practitioner (Salem, OR)

We are looking for an experienced Psychiatric Mental Health Nurse Practitioner (PMHNP) who brings respect, empathy, and kindness to our patients. This individual is responsible for direct patient care of Transcranial Magnetic Stimulation (TMS) therapy, Medication Management, and Spravato at our Salem clinic, while working with our executive team to drive new patient growth for APMH. The provider will be patient-focused, enthusiastic about leading a team of clinicians, and willing to learn and apply the most up to date mental health treatment modalities.
You will be responsible for:
- The application of psychotherapy expertise by performing comprehensive psychiatric evaluations.
- Developing patient treatment plans using evidence based guidelines and protocols.
- Cultivating positive therapeutic relationships with patients.
- Utilizing patient feedback to monitor, and continuously improve, patient outcomes.
- Simplifying workflow with our EHR to provide timely and accurate charting, and appropriate billing codes for all encounters.
- Collaborating with referring physicians and providers to provide timely updates on patient progress throughout treatment.
- Collaborating with the Chief Medical Officer and clinical staff to review treatment plans weekly.
- Leading by example, holding yourself and others accountable for delivering high-quality work on time, consistently meeting deadlines, and upholding professional standards.
- Fostering a culture of resilience and ownership, encouraging the team to take initiative, think critically, and find solutions to complex problems.

You will be successful, if:
- You possess a Masters degree in Nursing with a focus in psychiatric health.
- You are registered as a Psychiatric Mental Health Nurse Practitioner (PMHNP) with credentialing in Oregon, required and Washington, preferred.
- Three years of behavioral health, preferred.
- Three years of psychiatry experience, preferred.
- Experience administering TMS, preferred. Alternatively, successful completion of TMS certification based on initial training, provided during the initial period of employment.Demonstrated proficiency in EHR/EMR recordkeeping.
- The ability to work both independently and collaboratively.
- The ability to work in a dynamic, high-demand, fast paced environment.
